Marketing Asset Control and Continuity
Treat access as business continuity
Use this play before onboarding a vendor, launching a channel, rebuilding a website, changing staff, or connecting automation. The decision is whether the company can safely operate, recover, transfer, and leave every marketing asset it depends on.
Do not confuse access with control. A vendor login, shared password, or folder someone else owns may work today while leaving the remodeler unable to change billing, recover the domain, export history, or continue after the relationship ends.
What a remodeler stands to lose
Remodelers accumulate high-value proof over years: project photography, raw footage, reviews, customer history, service-area knowledge, cost education, and campaign learning. Losing the source files or context destroys future value even when the published post survives.
The company should own the primary account whenever the platform allows it. Give employees and vendors individual, role-based access. Keep secrets in an approved password manager, never in the register or playbook. Document recovery without copying recovery codes.
Move from inventory to tested control
Minimum: Inventory critical assets, company administrator, billing owner, recovery method, and current operators. Fix domains, website hosting, analytics, ad accounts, CRM, phone numbers, email systems, social profiles, business listings, and shared media first.
Growing team: Add backup administrators, vendor scopes, renewal dates, export locations, naming rules, rights/consent status, and offboarding checks.
Advanced: Test recovery and export paths, monitor ownership drift, connect stable asset IDs across production and reporting, and maintain a documented continuity exercise.
Use the Asset and Access Register for the working record and Video Asset Management for reusable footage discipline.
Ownership cannot be outsourced
Marketing Operations owns the register and verification. Leadership approves risk exceptions and vendor terms. Content confirms source rights and archive needs. Measurement confirms data exports. The channel owner confirms the asset is usable. A vendor may operate an account but should not be the only person able to recover or transfer it.
Proof that control is real
Useful evidence includes the percentage of critical assets with a verified company administrator, backup access, billing owner, export path, and exit procedure. Stop a launch or vendor handoff when ownership is unclear, access depends on one person, rights are missing, or recovery has not been tested for a consequential asset.
In the Strategy Menu, record the adopted control work, accountable owner, exception, and review date. The Strategy Menu must contain no credential values, recovery codes, or private password-manager links.
