AI Context Hygiene
Useful AI context is approved knowledge with visible ownership, provenance, audience, and freshness. A large prompt is not a source of truth.
Minimum context set
- Canonical company identity, services, service areas, licenses, and contact facts
- Best-fit and poor-fit projects, capacity constraints, and qualification rules
- Process, occupied-home protections, common risks, and homeowner questions
- Approved positioning, proof, claims, and voice examples
- Metric definitions and current business evidence
- Source links, owner, version, approval state, and last review
Use Unknown when the source does not answer a question. Do not fill gaps with plausible industry detail.
Separate context by durability and boundary
Keep durable company guidance separate from volatile campaign facts, personal data, raw client records, credentials, and internal delivery machinery. Give every retrieval or automation surface an explicit allowed source set. A client system must never search another client's sources merely because the same integration can access them.
When the context includes a homeowner story, project image, review, transcript, or business record, confirm the approved purpose and audience. Minimize what the AI receives to what the task needs.
Review before reliance
Check that the output:
- cites or identifies the material facts it relied on;
- distinguishes evidence, inference, recommendation, and adopted decision;
- does not invent project specifics, estimates, warranties, credentials, or client sentiment;
- preserves material uncertainty and conflicting evidence;
- follows the intended public, internal, or client-local boundary; and
- has a named human responsible for consequential approval.
Update context when services, markets, ownership, process, claims, pricing guidance, metric definitions, or policies change. Retire stale versions rather than letting several documents compete silently.
